Creating the Service Schedule part 1

Well its that time of year again. Yep its the start of the yearly master schedule for all service teams. It starts with a questionnaire to each member to first rank 1-5 Children's Ministry spots, then rank 1-5 service ministry spots. Over the next few weeks I will detail how we do it here at Grace Church Frisco and ask how other churches do it as well.

 

Some basics

  • All teams are on a 1 in 4 rotation
  • We have 2 services at 9 and 11:15
  • We meet in a school so with portable church we have takedown and setup plus van driver
  • Since there are 4 months with 5 weeks all 4 teams take 1
  • Children's Ministry gets first priority of people and schedule; i.e if you rank pre-k #1 and usher #1 you will be assigned to pre-k and not usher because usher duties conflict with pre-k
  • Master schedule is created for the entire year for all teams on one excel file
  • Goal is to have zero conflicts
  • Our church admin (shout out to Hosanna Hanson) sends a email out each wed to people serving for the week, along with the team leads - so everyone knows who is serving
  • A copy of the schedule will goto the Officer of the Day -whose job is to oversee both services

 

Deliverable

1. Questionnaire - passed out on June 7 and 13th. I will post this on the resource section

2. Prelim Childrens Ministry - mid July

3. Service schedule - mid august

4. Team event for teaching, team building, and schedule sign off - mid august

5. Start new schedule  - Labor day
